This is a draft for review during development. It will apply when applications and inquiries open on the live site. Real applications are not accepted on the staging site.
EOTO Co., Ltd., which operates EOTO (referred to below as “we”), handles personal information received in connection with player and streamer applications, sponsorship and collaboration inquiries, and other inquiries as follows.
1. Information We Collect
Our application forms collect the information you enter, including your public activity name, full name, email address, Discord ID, any age and country or region you choose to provide, gaming and competitive experience, social media accounts and streaming channels, availability, and reasons for applying. Our inquiry form collects your company or brand name, contact person's name, email address, website and social media URLs, and inquiry details.
The system may record communication and submission details, such as the submission date and time, the page from which the form was submitted, IP address, and browser information. We do not ask for your address, telephone number, date of birth, identity documents, or Japanese Individual Number (My Number) in an initial application. Please do not enter sensitive information, such as health information, or another person's non-public information.
2. Purposes of Use
- Reviewing applications, conducting selection, arranging interviews and tryouts, and communicating results
- Reviewing and responding to sponsorship, collaboration, media, and other inquiries, and arranging business discussions
- Responding to requests from individuals for disclosure, correction, deletion, and similar actions, and handling complaints
- Preventing fraudulent submissions, investigating technical problems, and operating forms securely
Without your consent, we will not use the information you provide to send advertising emails, provide prospect lists to sponsors, or register you for other recruitment opportunities. Applying alone will not cause your name, age, contact details, or application contents to be made public. Before publishing a profile after you join, we will separately confirm which information will be published.
3. Required and Optional Information; Applications from Minors
Fields marked as required are necessary for selection or responding to your inquiry. You cannot submit the form without completing them. Optional fields may be left blank. If you are under 18, please have your parent or guardian review this policy and your application and obtain their consent before applying. If you proceed to an agreement to join the team or a similar agreement, we will separately confirm parental or guardian consent as necessary.
4. Retention and Deletion
- Application information: We will delete it within six months after the selection process ends or we receive your withdrawal. If an application does not progress and there has been no communication for six months since the last contact, we will treat the selection process as having ended at that point.
- Inquiry information: We will delete it within one year after we finish handling the inquiry. Information relating to ongoing business discussions will be retained only for as long as necessary.
- If you proceed to a contract: We will separately manage only the information necessary to perform the contract or meet legal retention requirements, and delete application and inquiry information that is no longer needed within the periods stated above.
Even within these periods, we will progressively delete information that is no longer needed. If retention is necessary to meet a legal obligation or address a specific dispute, we will retain information only to the extent and for the period necessary. Information in backups will not be used in normal business operations and will be progressively erased according to the backup retention cycle. If a backup is restored, we will manage the restored information to prevent information that was previously deleted from being used again.
5. Disclosure to Third Parties and Outsourcing
Except where permitted by law or similar applicable grounds, we will not provide personal data to third parties without the individual's prior consent. We will not share application contents with sponsors, other teams, or all of our team members. Access is limited to personnel who need it to conduct selection or handle inquiries.
We may outsource server operations, website maintenance, email delivery, and similar services to external providers. We will select providers appropriately and require them to handle information only to the extent necessary and implement security measures. If personal data is to be provided to a third party in a foreign country, we will provide the necessary information, obtain consent, and take other required steps in accordance with applicable law.
6. Security Measures
We limit the personnel who handle personal information and their access permissions, encrypt communications, manage authentication credentials appropriately, maintain systems, and delete unnecessary data. We inform personnel of our handling rules and check how information is managed, including by service providers. If a data breach or similar incident occurs, we will take steps to prevent further harm, investigate the cause, and report to the relevant authorities and notify affected individuals as required by law.
